From cash-ups to cash calendars
Ryan Naidoo’s working roots are in day-to-day operations, he’s handled everything from closing tills at a Cape Town spaza to collecting deposits on site for a Thohoyandou paving crew. He’s seen how a missing VAT201 or late EMP201 can throw a whole week out, especially for firms with heads down in the work, like Nathi’s Car Wash in Site C or Vhembe Tiling in Limpopo. Ryan joined BizMagic just after managing supplier statements for a paint wholesaler in Bellville South, bringing experience in cash-up routines, bank FICA packs and those Friday 4pm eWallet runs. He now leads the cash and invoice tools here, building ways to help teams keep every slip and payment in order.
Running a cash session
Ryan’s weekly ops sessions are hands-on, practical and, if you ask Sipho from Khayelitsha IT Repairs, a bit old-school. No fluff: he’ll start with the cash calendar, map key dates like SARS payments, load-shedding stage warnings and main supplier payment runs. One session might focus on prepping the next month’s invoice batch for a Morningside courier outfit, the next on running through overdue jobs in Thohoyandou. Ryan always keeps it moving. If someone’s short on change, he’ll flag it for the weekly ops rituals. He’s not one for long lectures, he prefers ticking off items live with founders and showing exactly which document, amount or system needs a nudge.
Checklists and habits that work
Numbers only make sense if they match the real business. Ryan is a firm believer in checklists and small routines, none of that "it’ll sort itself out" thinking. He’s always carrying a dog-eared cashbook, and his digital notes are full of reminders for those moments when the Wi-Fi’s down or the power’s out. He swears by these habits, and he’s probably saved dozens of founders from late penalties or missing cheques, even if its just by nagging at the right time.
- Mark every invoice sent on the calendar, never assume it’ll go out later
- Print one week’s supplier payments at a time (don’t trust your browser tabs)
- Keep a running WhatsApp of receipts, especially for places like Khayelitsha Market
- Tick SARS and UIF submissions every Friday, not at month-end
- Double-check each POP (proof of payment) before calling it done
