When to use a cadence card

Every small team needs a weekly drumbeat, not just when things get wild at month-end or you're juggling VAT201s between Eskom's schedules. The cadence card works best for owner-managed firms under twenty people, whether you’ve got a six-person panel beater in Harrismith or a Ballito beach café crew. Use it to cut confusion over who does what, when, and to anchor the week around predictable, real slots. The card fits right alongside your starter kit or as a backup when digital calendars go flat during load-shedding.

If you’re starting in a new suburb, scaling after a big new client (or your star barista resigns), or shifting people between in-store and delivery routes, this card helps prevent crossed wires. It’s also a handy nudge for those who say they’ll send the EMP201 but then the school run or a supplier mix-up gets in the way, hey.

Weekly rhythm slots, owner and timing

Here’s a simple Ballito example. Adjust the days or timing to suit your team’s energy, religious schedules or courier cut-offs. After printing, stick it to the fridge or the inside of your shop’s back door.

  • Monday 08:30-09:00, Quick team standup (Sipho, Owner)
  • Monday 09:00-10:30, Supplier checks and orders (Rose, Admin)
  • Wednesday 14:00-14:30, Cash up and receipts (Nathi, Bookkeeper)
  • Thursday 11:00-12:00, Customer follow-ups (Lerato, Sales)
  • Friday 13:00-13:45, Workflow handover and week close (Sipho, Owner)

Slot your team’s names against each role. Mark in pencil if you need to swap for a late delivery from your Durban supplier or a rainy Orange Free State morning.

How to flex around load-shedding

Eskom does not care about your meeting schedule. When Stage 4 hits or the lights go out at your Harrismith workshop, pencil in backup times for any slot hit by a blackout. A late-morning slot can become a late-afternoon slot, or move entirely to the next day if you’re working around afternoon thunderstorms. Make sure your team actually knows to check the local grid via the app, since Ballito’s coastal outages sometimes don’t match what’s posted online. For anything urgent, shift tasks to the first slot after power returns, never risk losing customer invoice data or cash-up slips if the till is blinking.

Pro-tip: Print two cards for weeks with heavy cuts, marking one in red for the "power shuffle" version. If you run a business with tight courier schedules, like a mini-distribution hub in Harrismith, double-check courier cut-off times and load this into your card for Thursdays. It’s easy to forget and then your parcels end up stuck in Joburg for the weekend.

Adjust for public holidays and school breaks

Public holidays (especially those sneaky midweek ones) and school holidays can throw your rhythm out. On a week with, say, Human Rights Day falling on the Tuesday, bump routine admin to Monday afternoon and check with your key suppliers about their hours. For teams with school-going parents, let them swap slots or adjust timing without losing the main ritual, the goal is to keep the habit alive, not to punish anyone for fetching kids in Umhlanga traffic. We’ve seen Ballito’s Beachside Deli team shift all follow-ups to Wednesday when Tuesday was a public holiday: saved them from missed B-BBEE affidavit deadlines and a grumpy auditor.

If your local authority offices are closed, pencil in another slot for municipal paperwork. You should always check your compliance notes using this starter FAQ.

Real example: Harrismith Panel Pros

Harrismith Panel Pros, a tight team of eight, prints a new cadence card every Monday after the first customer drop-off. Their week looks like this:

Monday 08:00, B-BBEE file update (Fikile, Admin). Tuesday 09:00, CIPC reminder and EMP201 prep (Sipho, Owner). Thursday 16:00, Cash up and receipts (Nomsa, Bookkeeper). Friday 12:00, WhatsApp supplier check-in (Sipho, Owner).

On public holidays they shift everything up a day, but sometimes someone forgets to change a slot and the receipts pile up. The manager keeps a fresh card near the coffee machine and uses these printable rhythms to keep everyone honest. For more tips, see our resource notes.
