Digital Spark handoff

Why handoff matters in small teams
Passing along your Digital Spark kit is not just admin. It means your site, maps setup and review responses keep working even when someone else steps in. Whether you’re moving things to your bookkeeper in Somerset West, your new shop assistant in Brits or your supplier contact at Woodstock hub, you want consistency. Local buyers use Google Maps and reviews every day. If your handoff is messy, the new person ends up guessing passwords, guessing the last update, or missing the link to that review script you needed on Friday. Nobody wants to be the business where a lost Gmail log turns away R4 800 in orders.
What goes in your Digital Spark handoff note
Keep your handoff note clear and just long enough to avoid confusion. Attach or link each item below. Use specific file names, like 'Cape-Town_Pet-Pantry_Maps-Checklist_2024-07-02.docx', so the next person does not spend an hour hunting around. Pop your note and attachments in an email with the kit name and your business: e.g., 'Handoff: Digital Spark for Pet Pantry Somerset West'. Send it to magic@bizmagic.co.za for supplier hub support or to your team. No web forms or WhatsApps, just proper email.
- Maps checklist, filled in with all login details and pins used (file: Maps-Checklist_[business]_[date].docx)
- First set of review-response scripts as a text or Word file (file: Review-Scripts_[business]_[date].docx)
- Site starter notes with logins, hosting info and update contact (file: Site-Starter_[business]_[date].docx)
- Contact details for your handoff person and next point of contact
- Short email body with who takes over, next key date (e.g. when to update review replies)
File naming, subject lines and routines
Stick to a simple routine. Name every file with your business, the item and the date. For example, 'Brits_Bicycle_Barn_Review-Scripts_2024-06-15.docx'. Add this to a shared folder or, if your supplier hub handles it, add to your next Maps checklist. Send your main email to magic@bizmagic.co.za with 'Handoff: Digital Spark for [your business, location]'. This helps a supplier in Woodstock or your new admin in Somerset West get going straight after the school run, without a six-message back-and-forth. If you’re building new habits, you might want to add Email Identity Ritual to your regular checklist.
What can go wrong? A real small slip
Mia from Brits Print Studio sent her Digital Spark handoff note to her new hire, but forgot to attach the filled-in Maps checklist. The new hire tried linking the studio to Google Maps, but duplicated the entry and added the wrong trading hours. It led to a grumpy client turning up at 6pm on a load-shedding night. Sorted it out the next day with a call to the Woodstock supplier hub and updating the checklist. Lesson: always attach every step and confirm who’s meant to follow up on updates. Saves alot of headaches for everyone.
Need to refresh or update later?
Your local presence needs regular updates, especially if you move (say from Somerset West central to Strand) or change suppliers. Check in with the Digital Spark cadence for reminders. For deep dives on reviews and maps, see maps and reviews supplier notes. Help’s always on tap at magic@bizmagic.co.za and, for walk-ins by appointment, Woodstock hub. If you start using other kits like Digital Spark, keep handoff notes tidy and up to date.
