What goes in the handoff note

Be specific so your replacement, maybe your stall manager Sipho or business partner Zanele, can find every permit, checklist and restock cue. Getting it right saves a 10am panic over a missing fire certificate or a Sandton City loss control manager demanding the POP.

  • Trading checklist: Include the full step-by-step from the Pop-Up Charm checklist.
  • Permit cue list: List permit types and reference numbers (mall pop-up permit, municipal trading, signage, fire, load-shedding schedule).
  • Replenishment notes: Date-stamped list of what’s running low, supplier order numbers and last contact person.
  • Venue and contact info: Mall or street location, store manager's name, security office, local courier phone, mall trading hours.
  • Current stock count: Actual quantities on hand, in rands (e.g. 47 units, R3,850 on hand).

How to file and name your handoff

Keep life simple and files findable. Save everything as a single PDF named like this: businessname_pop-up-handoff_DATE.pdf (example: vryheidtiles_pop-up-handoff_2024-07-14.pdf). Attach it to your handoff email. If you’re passing to a BizMagic supplier hub, copy the original documents you got in your kit for easy double-checking. Never split the list across different emails or, trust me, you’ll lose half. For proper cadence, refer to the kit cadence, especially if your pop-up rotates staff or venues.

Email subject and sending steps

Subject lines that actually work when you search a year later: use 'Pop-Up Charm Handoff, [Business Name], [Venue], [Date]'. When handoffs go sideways

Last spring, Mabilisweet in Stellenbosch tried a Saturday pop-up at the new market near the station. The owner forgot to include the municipal permit slip in the handoff to his assistant. Trading halted at 11am when the inspector showed up and no-one could find the paperwork. It cost them their whole day’s takings, about R4,600 lost because of a missing two-page permit.
