Rosebank quote week

During quote week, a Rosebank events firm swapped PDF chaos for clear supplier comparisons and faster choices on urgent decor jobs.

The client and their month-end stress

Golden Thread Events, a boutique coordinator in Rosebank, manages corporate functions, private launches and a handful of weddings each quarter. Ten staff handle everything from flower runs in Norwood to client walk-throughs at the Hyatt. In April, they faced a recurring pain: quote week. Their small ops team was averaging 18 incoming supplier PDFs for each big job, hitting one inbox, bouncing between Lungi (the bookkeeper) and Zama (the project lead). With six jobs quoted in a rush, there was just no time to compare properly.

Old supplier lists were stuck in emails, some from as far back as 2021. The result? Missed deals, last-minute courier stress and a real risk of unclaimed VAT201 input if invoices got lost. By Monday lunch, three staff were already over their heads with April's big PR gala. You know the feeling when its all chaos before payday.

How we made five days count

The owner, Amira, called us at 07:50 on Monday as rain buckets hit the parking at Rosebank Mall. Step by step (over five days), we got her team out of quote ping-pong and into organised, visible supplier options. Here’s exactly how we did it.

  1. Day 1 (Monday): Set up a shared supplier shortlist using Supplier Radar, listing 12 pre-screened florists, decor suppliers and logistics partners in Sandton, Centurion and the Joburg CBD.
  2. Day 1: Moved quote requests off email threads into a single Google Sheet, structured by service, rand amount, and delivery promise (not just price).
  3. Day 2: Used Invoice Charm to standardise all incoming quotes (no more 7-page PDFs) into a two-column summary for Amira and her team.
  4. Day 3: Ran a quick mini ritual from our weekly ops rituals, every supplier had to confirm bank FICA docs and B-BBEE affidavits upfront. That killed three potential hold-ups right there.
  5. Day 4: Sent a supplier progress note using Supplier Notes to Lungi, so she could prep the correct PO numbers and match each quote against VAT and lead time (she did miss one, but it's sorted now).
  6. Day 5 (Friday): Final side-by-side comparison of all quotes. Amira called three suppliers before lunch, confirmed the best deals, and signed off with full visibility.

Concrete wins in the first week

By the end of quote week, Golden Thread Events cut incoming PDFs from 18 to just 5 summary tables. The ops team saved a total of six hours between Zama and Lungi (as tracked by their WhatsApp timestamps). Supplier choices were obvious, so they paid two deposits early, R16,500 to a Parkwood florist and R11,200 to their regular tent crew. No more panicky follow-ups on incomplete documents. Three quotes were ready for their accountant before the SARS eFiling deadline, with nothing lost in the shuffle.

Three months on: real habits stuck

Today, Golden Thread Events still uses their BizMagic kit to shortlist and compare every major supplier. Amira tells us the shared quote table is now their 'quote central', her word, not ours. Lungi spends less than 20 minutes a month tracking supplier B-BBEE affidavits, and Zama uses the summary to prep her own next PO numbers. The team has stopped dreading supplier quote week, and are planning to hit their next cash calendar (by July) without inbox drama.
