Launch week run sheet

Map out your Richards Bay or Bellville setup week with these daily cues, clear steps and small real-world tips.

This guide supports real briefs across Cape Town, Gauteng, and beyond. For a tailored pack, email magic@bizmagic.co.za.

What you’ll find on the run sheet

The Launch Week Run Sheet helps you run your company’s opening week like a real operator. Each section is laid out for day-by-day action, so you can tick off, update or assign as you go. Whether you’re opening a new courier branch in Bellville or a mobile tyre repair in Richards Bay, the sheet stays the same, just fill in your real tasks, people and habits. Keep it printed or open in a tab. For more on our weekly rituals, see our ops cadences.

  • Date (with tick box for each weekday, Monday to Sunday)
  • Main task or cue (e.g. Register VAT, Bank FICA, Get municipal permit)
  • Responsible person or firm
  • Supporting documents or reference (like CIPC confirmation, SARS login, lease agreement)
  • Status (Not started, In Progress, Waiting, Done)
  • Notes or quick blockers

How to fill it in, step by step

Use the run sheet like a normal checklist, but stack your admin and supplier calls by day. Never try squeeze too much into one go, even registering for eFiling at SARS Bellville can take an extra morning if the internet’s down. This tool keeps you honest and focus on real next steps, not your ideal plan. For advice on using kits with this method, see our starter kits.

  1. Write the actual dates of your setup week across the top.
  2. List each key company setup task in the Main Task column, one per row.
  3. Assign each task to a person (yourself, co-founder, cousin, or actual supplier name).
  4. Fill in which docs or details are needed to finish (for example: new business bank letter, CIPC reg number, VAT201 form).
  5. Update the status each day: Not started, In progress, Waiting (for, say, a supplier callback), or Done.
  6. Note any blockers, delays, or random chaos (like Bellville’s load-shedding popping up in the middle of SARS queue).

Sample entry from a real week

Let’s say Sipho is opening a fishing gear outlet in Richards Bay, kicking off the week on a Monday. On Tuesday, under Main Task, he’s listed ‘Apply for municipal trading permit’, with himself as responsible. The supporting doc is ‘Lease letter from landlord’, status is ‘In progress’ (since the landlord was late on the letter), and notes mention ‘Khanyi at uMhlathuze Municipality, counter 3, office hours only’. He ticked Tuesday’s box once the letter came through. Lots of small things get bunched up over the Bellville payday rush, so leave padding in your week if you can. See more working tools for specific entry tips.

Common mistakes and how to dodge them

Plenty trip up by grouping all paperwork for one day, forget it, unless you want to stand three hours at City Hall with no appointment. Another slip: assigning setup admin to ‘everyone’, which means, in truth, no one ends up responsible afterall. Don’t skip the Status field, or you’ll lose track by midweek, especially in Highveld storms or when courier bookings get missed. To keep your timing, check our supplier notes on lead times and banking cut-offs. And always save your file somewhere you can actually find it, not just ‘on the cloud’.

Bring your run sheet to supplier hub sessions

Whenever you’ve booked a slot at our Bellville or Richards Bay supplier hub, bring your updated launch sheet along. It’s not just admin: suppliers at the hub (like print shops, courier reps or bank runners) often want to see your planning, especially for FICA packs or confirming a VAT201 status. With a filled-in sheet, you’ll trim half the back and forth. For more on what to bring and who’s at each hub, drop our team a note or read about us and get specific help.
