Sections on your scorecard
The supplier scorecard gives you one clean page to line up quotes side by side. No more sticky notes or chasing those WhatsApps. You get fields for the supplier name, contact details, item or service, quote reference, quoted price (in rands), lead time, payment terms, location, and a comments section. There’s a space to tick if they’re B-BBEE compliant, and also a column for scoring quality or reliability (out of 10). Perfect if you’re comparing tile prices for a project in Phalaborwa or delivery fees for bakery supplies to your Boksburg kitchen.

How to fill it in
Start by gathering new quotes from at least three local suppliers. Print one scorecard per order, or use the sheet to compare up to five suppliers for the same job. Use a black pen or the editable PDF version, keep handwriting clear if you’re going old school. Each row is for one supplier. Be as specific as possible, especially on item descriptions and contact details.
- Gather at least 3 current supplier quotes for one item or service.
- Write each supplier’s name and contact details in a new row.
- Enter the item or service each quote covers.
- Add the quote reference or order number exactly as shown by the supplier.
- Fill in the quoted price (in rand) and delivery or lead time.
- Copy the payment terms (e.g. 30 days, COD) as supplied.
- Note the supplier’s location (town or suburb).
- Tick if they’ve provided a B-BBEE affidavit or certificate.
- Score each supplier’s quality or reliability out of 10 (your best guess or based on past jobs).
- Add practical comments, e.g. ‘includes offloading at site’ or ‘excludes VAT’.
Example filled-in row
Say you’re comparing ready-mix concrete for a site in Phalaborwa. You list "Mashego Concrete", contact Sipho on 073 555 1234, item as 12m³ C30 mix, quote reference MC-0524, price R11,400, 4-day lead time, payment terms 50% upfront. They’re based in Namakgale, B-BBEE ticked, quality score 8/10, comments say ‘includes stone and pumping to slab’. You’d then fill in the next row for, say, "Limpopo Readymix" from Lulekani, following the same steps.
Watch for these common mistakes
Don’t mix suppliers for different items on one sheet, stick to one order or job per scorecard. Avoid leaving the payment terms blank, as it can trip you up later if you forget a supplier’s COD or 45-day rule. Always copy quote numbers exactly to avoid confusion at the approval stage. It’s easy to let the B-BBEE box slip if your rushing. Lastly, try not to guess lead times, ask each supplier directly, as ‘ASAP’ means next week to one and month-end to another. If you use the digital version, double check you don’t overwrite someone else’s details after printing.
