Weekly Ritual Pack steps

This list is for founder-led teams who want to keep their ops smart and light, not heavy and formal. Use it in any week, but especially when things get noisy, month-end, VAT201, a 3-day load-shedding streak, or mid-winter school holidays. Every line below is something we see working in shops around KZN and Gauteng. For the full method, see the main Ritual Pack kit.

  1. Set the team WhatsApp status to confirm the week’s main focus by 8:45am Monday.
  2. Print the Weekly Ritual card and post it on the tea station fridge.
  3. Owner reads standup cues out loud to everyone present at 9am.
  4. Each team member reports last week’s biggest exception (e.g. missed delivery, payout delay) onto the Exception List.
  5. Circle the most urgent exception, flag who must own it and set a fix-by Friday.
  6. Check the load-shedding stage for the week at the supplier hub (Midrand) and adjust hours if needed.
  7. Update supplier contact numbers and trading hours for at least two key partners (e.g. courier, cash-and-carry).
  8. Reconfirm petty cash float with whoever draws money before Thursday’s taxi cut-off.
  9. Lock in who covers counter during owner’s external checks (like bank FICA docs or municipal permits).
  10. Take a photo of the whole Exception List and email it to magic@bizmagic.co.za by 11:30am.
  11. Note any public holidays, school events or payday shifts on the Weekly Ritual card before end of day Monday.

Where this checklist usually breaks

No process survives the real world untouched. These are the top breakpoints when we watch teams run the Ritual Pack in Umlazi or Potchefstroom. First, the team WhatsApp goes quiet when the owner is out chasing a supplier, so nobody sees the week’s focus. Second, the Exception List sits blank because everyone’s too polite to mention a courier lost the stock. Third, the supplier hub in Midrand changes hours for a two-day water outage and nobody updates the ritual card, so a rep arrives to a locked gate. What 'done' looks like on paper

If you’re ticking every box, your Weekly Ritual card has Monday’s date, team names, and the week’s goal Sharpied at the top. The Exception List spells out at least one open issue, with an owner and a fix-by day. Cash float is signed out (not just mentioned). Supplier hours and contact details match the latest trading sheet. And there's a photo of the written list in magic@bizmagic.co.za’s inbox before noon. Example: Umlazi Print Stop’s Monday

Sipho at Umlazi Print Stop runs a team of seven, two of them cousins. Every Monday, he WhatsApps 'School campaign week: focus is on school bag labels' by 8:50am. He posts the Ritual card on the fridge. At 9, he reads the owner cues, asks Sindi which courier missed Friday’s round (it was Zama Express, order 2103). That exception gets flagged for Sipho to own, with a fix due by Thursday. While confirming the Midrand supplier hub’s hours (no water cuts this week), Sindi updates the main courier’s hours on their partner sheet. Petty cash count (R1,200) is logged before Thursday, and Mlu volunteers for the counter on Wednesday. Sipho sends a photo of the Exception List by 11:27am, almost forgot to hit send. By Monday close, the card also has the school prize-giving dates.

Extra help for weekly rituals
