Quick intro: Why handoff matters
In a small business, handing off your board pack shouldn’t feel like leaving your keys at the rugby field. Board Charm is built for busy owner-directors in places like Oudtshoorn or Sasolburg, where your bookkeeper sits two doors down and your accountant is on WhatsApp. With our skeleton pack and one-page KPI sheet, you avoid an inch-thick folder and keep the directors focused. Still, if your pack and log aren’t handed over clearly, things get muddled. Directors in Koffiefontein and Ballito need a pack they can actually find and read. That’s why your handoff has to be concrete, not buried in another email chain.
What goes in your handoff note
You only need three things for a clean Board Charm handover: the skeleton board pack, your one-pager of KPIs, and the running decision log. That’s it. Attach these to your note, so you don't leave your new hire or supplier paging for last quarter’s decisions. Use the checklist at Board Charm checklist to double-check nothing’s missing, especially if you're passing this over before a meeting at the Observatory HQ supplier hub. Remember, keep files under 10MB or they’ll get stuck in the outbox, and always send as PDFs for consistency.

Naming, filing and the subject line
Keep your file names tidy. Use this naming convention for all Board Charm handover docs: ‘BOARD-CHARM_[CompanyName]_[YearMonth]’. For example, ‘BOARD-CHARM_KarooTiles_202403’. File copies in your shared folder under ‘Governance’ and in your own records. When emailing to magic@bizmagic.co.za, always put the period, company name and ‘Board Charm handoff’ in the subject line. For example: ‘Karoo Tiles March 2024 Board Charm handoff’. Real example: a handoff that went sideways
Last winter, Karoo Tiles (tile fitter, Oudtshoorn) tried to hand Board Charm over to their new Sasolburg partner. The files were named ‘boardstuff_final_final2.pdf’ and the KPI page was missing. Their accountant had to chase through three email threads to figure out what decisions were made. Month-end was a mess, and nobody could remember if the VAT201 deadline was signed off. We fixed it by using the proper naming and the Board Charm checklist. The next quarter, they handed over a clean kit, and the partner could actually prep for the meeting. Honestly, alot of admin can be solved by just naming things properly.
If you’re passing work to a partner or hub
