The handoff note goes beyond scribbles from a meeting. It’s a quick-read, written for a real person stepping in cold. The handoff note travels together with the session summary and any action plans or existing templates. Each item helps avoid double-work and stops things falling through in that month-end panic.

  • The one-blocker brief you sent in before the session
  • Session summary with main decisions and steps
  • Contact details for the next responsible person
  • Any templates, checklists or forms filled in during the hour
  • Follow-up actions with owner and deadline
  • Notes on software logins or key docs (but never passwords)
  • If compliance-related, reference numbers (e.g. CIPC, SARS or UIF cases)

Filing matters too. Give each document a clear name, like '2024-06-11_CounterHour_VAT201_MbombelaTiles.pdf', and save them in your shared business drive or Google folder. For mbombelabathsupplies@gmail.com, that’s the 'BizMagic' folder under 'Compliance 2024'. The email subject to magic@bizmagic.co.za must say which kit, your business name and the blocker, e.g. 'Counter Hour Charm Mbombela Bath Supplies VAT201'.

Practical handoff steps

You don’t need magic words or perfect English. Just keep it practical and human. Once your session ends at Observatory HQ, check your inbox for the follow-up note. Forward that bundle to the next player, maybe Lerato, your Newcastle bookkeeper, or to your Pretoria-based business partner. Attach all documents, mention which blocker it’s for, and point to the section in the note they need to read first. If it's a regular ops handover, flag the date and context, like 'week 2 after launch'.

When handoffs trip up: Mbombela Tiles’ story

Mbombela Tiles had a tricky run one April, while prepping their EMP201 at the last minute. The owner tagged most tasks to his Newcastle admin, but left only a voice note with no summary and forgot to attach the file. The admin missed the SARS eFiling reference entirely, so the EMP201 ran late and they paid a R400 penalty. We repaired the chain: for the next round, the brief, action plan, and reference numbers were all dropped in a single email, subject tagged with 'EMP201'. Try to keep things simple, one blocker, one handoff, one clear note. If you scatter things across too many emails or hand over with half the context, you risk losing cash or time. It’s alot better to slow down for one tidy email now than scramble in month-end’s chaos.
