Invoice Charm pack
If you want paid without chasing or sour notes, Invoice Charm gives you friendly, steady routines to keep money moving.
What’s in the Invoice Charm pack
Invoice Charm is a starter kit built for everyday South African businesses, from a Pietermaritzburg event caterer to a Gqeberha plumbing service. Inside, you get a sturdy printed folder for your counter plus digital files to use on your phone, laptop or even WhatsApp. You get tried-and-tested invoice and reminder tools made for quick action, not stiff, awkward templates from overseas. Every item is tuned for real local practice, with space for your VAT201 details, banking info, and what you actually want to say (‘Hi Sipho, hope the move went well, here’s this month’s invoice from Tarryn at Handy Hands’).
- Printed folder with local invoice samples
- Editable invoice template in Word (standard and VAT options)
- Editable invoice template in Google Docs
- Collections calendar (A4 print, plus spreadsheet version)
- 5 friendly follow-up email scripts (first nudge to final warning)
- 2 voice note script suggestions for WhatsApp follow-up
- Short guide to bank FICA pack compliance
- Checklist: When to send, who to CC, how to spot a stalling client
- Quick-glance guide for SARS eFiling documents needed when invoicing
Who it suits and who it does not
Invoice Charm is designed for owner-managed businesses under 20 people, like Thulani’s signage team in Pietermaritzburg or Ntsika’s mobile tyre fitment in Queenstown. If you send between 5 and 120 invoices a month, use eFiling, and want a calm, pro way to nudge clients, this will land for you. It won’t help big accounting teams already running automated billing, or businesses with group legal chasing down millions each month. You still need an accountant to check your tax numbers, but Invoice Charm keeps the admin side friendly and honest.
How ordering and delivery works
Start by emailing magic@bizmagic.co.za with your order or any questions, plain and simple. We’ll send a pro forma invoice within one business day. Pay safely by EFT. Once payment clears, your pack is dispatched from Observatory Studio in Cape Town. Delivery is by courier (see shipping times) or you can collect yourself from a supplier hub in Sandton, Midrand, Rosebank, Stellenbosch, Durban, Pretoria or Woodstock. Just let us know in your mail. All digital files are sent to your inbox same day as dispatch starts. If you’re ever worried about timing, month-end crunch, or need a paper copy for FICA, we’ll advise. For more detail on our hubs, see Observatory HQ.
Your first fortnight with Invoice Charm
Most founders see relief in the first two weeks. You’ll pick one invoice template, drop in your logo and numbers, and send your first friendly batch to clients (even your most prickly ones). The collections calendar keeps you honest: you’ll see which clients need a WhatsApp voice note on payday or a gentle nudge two days after the 25th. If you’re like me, you’ll spot that you forgot to add your VAT number last month, these templates quietly save alot of that back-and-forth. For the full process, peep the step-by-step checklist or set a schedule using the collections calendar guide.
Honest words from local founders
Ayanda, a hair salon owner in Bellville, said, “Clients actually replied to my first friendly reminder, I no longer get ignored when it’s time to pay. My old invoices were stuffy. Now I send clear amounts and gentle nudges, and money comes in before rent is due.”
Brian, who runs a pest control company in Pietermaritzburg, wrote, “I used to dread following up. With Invoice Charm, I just copy and paste the script for late invoices. It sounds like me, not some scary lawyer. My stress is way down after month-end.”
